Information we collect
When you contact us, we may receive your name, telephone number, email address, property address and postcode, service choice, message and any photograph you choose to attach. We also receive information you send by phone, email or WhatsApp.
Our hosting provider may create standard security and access logs. The enquiry form temporarily uses a one-way security hash derived from connection information to slow repeated automated submissions; it does not store the raw IP address in the website.
Why we use it
We use enquiry information to understand the work, reply, arrange a visit, prepare a quote and, if you choose to proceed, provide the service and maintain appropriate business records.
Our lawful bases are taking steps at your request before entering a contract, performing a contract, complying with legal obligations such as financial record-keeping, and our legitimate interests in responding to genuine enquiries, operating the business and protecting the website from abuse.
Who receives it
Website enquiries, including any attached photograph, are sent through Brevo’s transactional email service to Gardening Leeds. A copy is also sent to our website provider, Hamblett Consultancy Limited. Information may be handled by our website and email hosting providers and by the people in the business who need it to respond or deliver the work. If you contact us through WhatsApp, that service processes the message under its own terms. We do not sell personal information and this form does not add you to a marketing list.
Seasonal bookings and payments
When Christmas tree bookings are open, we collect the collection address, contact details, number of trees and any access notes you provide. Stripe processes the payment on its own secure checkout. We send Stripe the booking details needed to identify the payment and arrange collection; the website does not collect or store card numbers or security codes. See Stripe’s privacy notice for its handling of payment information.
Verified paid-booking notifications are sent through Brevo to Gardening Leeds, with a copy to Hamblett Consultancy Limited. The website keeps private technical booking records, including the payment reference, quantity, amount, collection window and notification status. These do not contain your contact details or full collection address; those details are held with the booking in Stripe and in the notification emails. Payment and booking records are reviewed and retained where needed to provide the service, resolve queries and meet business or legal duties.
How long we keep it
Unsuccessful or general enquiries are normally reviewed and deleted when they are no longer needed, usually within 12 months. Records connected with quotes, completed work, payments, disputes or legal duties may be kept for longer where there is a business or legal reason. The enquiry rate limit ignores entries older than one hour; the hosting platform may retain temporary security files until its routine cleanup.
The website keeps a limited technical delivery record containing the sending status, time and Brevo message identifier, without enquiry text, addresses or photographs. It retains at most 100 records and removes records older than seven days when the next enquiry is processed. Brevo and the receiving mailboxes also process messages and delivery records under their configured retention settings.
Enquiry form errors
If an enquiry cannot be sent, the form keeps your typed details on the page so you can correct them. We do not put these details in the page URL or save them in browser storage. Without JavaScript, you will need to select your photograph again after an error.
Photographs
Uploaded photographs are checked for an allowed image type and sent with the enquiry. WebP images are converted to JPEG in memory for email compatibility. They are not placed in a public upload folder. Please avoid including people, house numbers or anything unrelated to the work where possible. We will not publish a customer photograph as marketing content without a separate basis or permission.
Spam protection
Our enquiry and seasonal booking forms use Google reCAPTCHA to help prevent automated abuse. Its scripts load when you approach or interact with a form. Google processes browser, device, connection and interaction information for the security check and may set security cookies. Our server sends the reCAPTCHA response token to Google for verification; it does not send Google your enquiry text, address or attached photograph as part of that verification request. We do not store the token or log the verification response.
Google’s Privacy Policy and Terms of Service apply to reCAPTCHA. If the check cannot be completed, please contact us by phone or email.
Cookies and tracking
We do not use analytics or advertising trackers. The forms use reCAPTCHA’s security features and cookies as described above. The contact form uses a signed security token carried in the form itself rather than a tracking cookie. When seasonal bookings are open, the tree-booking form uses an essential, secure session cookie to protect checkout and retain your entered booking details if you return from Stripe. This is a session cookie; its server-side data becomes eligible for cleanup after two hours of inactivity. Stripe uses its own technical and security features on its hosted checkout. Your browser or our hosting platform may still make ordinary technical requests needed to deliver and secure the page.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, receive certain information in a portable form, and object to processing based on legitimate interests. Contact us using the details above to make a request.
If you are concerned about how your information is handled, please contact us first. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Changes
We will update this notice when the website or our handling of enquiry information materially changes.
